When and for what purposes does WOLF PERFORMANCE collect and process data?
WOLF PERFORMANCE collects and processes data about you when you, as an individual who is a customer or who acts as a contact person or representative of a company or organization that is our customer, contact us regarding the services for which you are reaching out to us. We summarize these activities under the heading “services to individuals.” These services include, in particular, bike fitting, training guidance, exercise testing, and sports nutrition advice.
We may also process your data in connection with training courses we provide. In such cases, we act as a data processor on behalf of the organizer of those training courses.
In addition, we also provide services to companies and/or organizations, such as organizing and supervising cycling vacations and developing products related to our activities. In such cases, we process your data as a representative or contact person for that company or organization.
If you are a supplier, we process your data—whether as a supplier, a contact person, or a representative of a professional supplier—in connection with the delivery of products or services, for the general purpose of “supplier management.”
We also process your data—whether you are a customer, a supplier, or a contact person or representative of a customer or supplier—when preparing invoices and other accounting documents. This constitutes the purpose of “accounting.”
Finally, we may process data about you because it is or may be relevant to our activities, for example, to be able to seek your advice or services. We refer to these activities as “communication” or “public relations.”
What data does WOLF PERFORMANCE collect and process?
This concerns the information you provide to us that WOLF PERFORMANCE needs to deliver the products you purchase from us, either in your own name or on behalf of your company or organization. This specifically includes the following categories of personal data
the company or organization you represent or on behalf of which you are acting, as well as your position
We may process certain data from suppliers to enable us to monitor the contractual relationship.
We process financial data for the purpose of fulfilling the contract and, therefore, for accounting purposes.
Information about your position and activities is processed, in particular, for the purposes of communication or public relations.
How does WOLF PERFORMANCE collect your data?
We typically collect your information directly from you when you provide it to us during the intake interview and subsequent appointments. This may also occur via email, by phone, or during a conversation.
As a general rule, we always collect your data directly from you. The exception to this is when you are acting as a representative of a company or organization with which we do business. In that case, we may obtain your data from other individuals within your company or organization.
What are the legal bases for WOLF PERFORMANCE’s processing of data?
If you use our services, this is done on the basis of a verbal contract. In that case, we process your data based on the contractual relationship we have with you as a result of your request for our services. The contract also serves as the basis for the processing of your data if you are a supplier of products or services.
In other cases, there is no contractual relationship with you, such as in the areas of communications and public relations. In such cases, we base the processing on our legitimate interests as a business, in particular the freedom to conduct business and the freedom of information. In doing so, we always ensure that there is a balance between our interests and yours, for example by granting you the right to object.
It is also possible that we may enter into a contract not with you personally, as a natural person, but with the company or organization that you represent or on behalf of which you act. Although in that case the processing is necessary to fulfill the contract with your company or organization, we base the processing of your personal data on our legitimate interests as a business, specifically the freedom of enterprise and information. This means that we must be able to process your data in order to do business with your company or organization. This is the case, for example, when we process data about you as a natural person in the context of our collaboration with the company or organization you represent or on whose behalf you act, as part of the “supplier management” and “accounting” processing activities. In doing so, we always ensure that there is a balance between our interests and yours, for example by granting you the right to object.
Is your information shared with third parties?
Your data is primarily processed internally for the purposes of providing services to individuals and businesses, training, supplier management, accounting, and communications/public relations.
Your data may be shared with third parties we engage for specific, one-time services or assignments—known as data processors. This always takes place under our supervision, and we ensure that these data processors adequately protect your personal data.
Sometimes we are required to disclose information about you. This is particularly the case when we are legally obligated to do so or when government agencies authorized to do so request information from us. In such cases, we verify whether those agencies have met the conditions for requesting the information.
As a general rule, your data will not be transferred to third countries.
Data Security
WOLF PERFORMANCE takes the necessary technical and organizational measures to ensure that your data is adequately protected. In particular, this means that unauthorized individuals cannot gain access to the data.
Your Rights
You may view the data we process about you at any time and, if necessary, have it corrected or deleted. You may also object to such processing.
To do so, simply send a request to info@wolfperformance.be, along with proof of your identity. We require this proof of identity to prevent your data from being disclosed to anyone who is not authorized to receive it. In principle, identification is verified using a copy of your ID card. However, other forms of identification are also accepted, provided they are sufficiently credible—for example, because they were issued by a government agency.
If you have any questions about or disagree with the way WOLF PERFORMANCE processes your data, you can always contact and/or file a complaint with the Data Protection Authority via (www.gegevensbeschermingsautoriteit.be), via contact@apd-gba.be, by phone at 02 274 48 00, or by mail at Drukpersstraat 35, 1000 Brussels.
